Technical Support & Deadline Submission

To assist you in completing the survey, detailed instructions accompany each section and definitions for particular terms are provided. Terms with blue underlined text are defined. Their definitions can be accessed by clicking on the term. To access the list of terms and their definitions, CLICK HERE. The definition list will also be accessible from the top of each survey page.

Survey assistance is available on weekdays between 9:00 a.m. and 4:00 pm Pacific time. If you have technical difficulties or questions that are not answered within the survey information, please contact Lisel Blash at [email protected], (415-476-8468).

Deadline for Submission: The final deadline for submitting your survey response is November 15, 2023 at 11:45 pm. Responses submitted after this time will not be included in the data compilation and analysis.
 

Common Technical Questions

We are no longer using usernames and passwords for you to access the survey. You must use the unique survey link sent to you via email. This survey link is only for your school and should not be shared with other schools. Giving your unique survey link to another school will compromise your data. If someone from another school asks you about how to access the survey, have them contact Lisel Blash at [email protected], (415-476-8468). She will provide them with their unique survey link.

How do I return to the Table of Contents page from one of the survey sections?
There is a Table of Contents icon in the upper left corner of each survey page in all sections except the introductory “Institutional Information” section. You can click on this icon, which looks like three small horizontal lines, to get to a pop-up list of the Table of Contents, which lists all of the survey sections your school should complete. If you want to access another section of the survey, you can click that title in the pop-up list on the Table of Contents icon.

You can also access the full Table of Contents page by clicking on the Table of Contents button at the bottom right corner of each survey page right next to the “Next Page” button in all sections except the introductory “Institutional Information” section. This will take you to a page listing all the survey sections your school should complete. If you want to access another section of the survey, you can click the title of the section you want to access on the Table of Contents page.

How do I send my responses to you once I finish the survey?
You can check your progress on the survey sections via either the Table of Contents pop-up list on the upper left side of the survey screen, or via the Table of Contents page accessed by clicking on the red Table of Contents button at the bottom of the page. Once completed, all of the survey sections that appear on the list should have a check mark in front of them, indicating that all survey sections have been viewed. Once you have completed all survey sections and are ready to submit them, click on the section titled "Submit Survey Responses." This section will bring you to a message indicating that you have reached the end of the survey and can submit your responses by clicking "Next Page." Once you have submitted your responses, you will be redirected to a webpage that will allow you to download and save your survey responses as a PDF. Please save a copy of your results for your records. Once you have submitted your responses, you will not be able to easily access them again. FAQs

1.
Question:
Is the value of student loans information at the school or from the student's perspective?
Answer: This information should be from the school and not the student’s perspective. This may be available from the school’s financial aid office. Please provide the average for all graduates who have loans. These data may be available from your campus financial aid office. Do not include students who have not taken out loans in your calculation.

Question:
Is the value of student loans question only for pre-licensure programs?
Answer: Yes, the values of student loans question is only included in the pre-licensure program survey sections (ADN, BSN & ELM).

Question:
Once the survey is submitted, is there any way to communicate a change?
Answer: Please review your responses carefully prior to submitting to ensure your responses are accurate. We understand that even with the most careful checking, changes may be needed after submission. In these cases, please contact Lisel Blash. I can give you a link to re-open the survey.

Question:
Should date ranges on questions be for the current reporting period or do any ask for prior years’ data?
Answer: Date ranges on questions should, for the most part, be for the current reporting period. Some questions may ask for projections of future years but not past years.  Census questions ask for the current year (October 15, 2023).

Question:
Where can we find the link to the PDF of the survey?
Answer: PDFs of the survey questions can be found here: http://rn.ca.gov/schoolsurvey.

Question: Where do we see calculations for attrition and completion?
Answer: Calculations can be found in the program survey section for the question that requests student cohort completion data. They can also be found in the Annual School BRN Report on the BRN website at https://www.rn.ca.gov/education/attrition.shtml#legend The data by school that is obtained from the survey and reported on the BRN website can be found above the legend at: http://rn.ca.gov/education/attrition.shtml.

Question: If census starts from October 15th, when does it end?
Answer: The census is just the number for that date (number for a point in time).

8.
Question: Our summer session completes in Mid-August. Should we consider those complete by July 31?
Answer: No, you should only include students/data that occur during the survey timeframe. Those completing in mid-August would be included in the next year’s survey.

9.
Question: For the question that asks for a breakdown of students who were scheduled to complete during the survey period (i.e., completed on schedule, withdrew from the program, etc.) if students graduate in this year, but were not due to complete in that time period (they were delayed more than one semester), is it correct that they are not counted here?
Answer: Yes, that is correct, but they would be included in an earlier question that asks for the total number of students that completed the program during the survey year.

Question: We have an entry level master’s program, where students are awarded a BSN after completion of the pre-licensure phase; but are enrolled in the entire program at the onset of the program. We are confused about how to classify students on completion and for NCLEX pass rates.
Answer: All students in a pre-licensure ELM program should be reported in the ELM section. Where applicable, there will be places to report students in pre- and post-licensure segments separately. The post-licensure segment students will no longer be reported in the Master’s post-licensure section. NCLEX pass rates are only asked for students in accelerated programs.

Question: If I am working on my survey and need to leave it how can I save the data I have entered?
Answer: There is no longer a save button, the system automatically saves the responses you have entered. You can simply close your browser and the next time you access the survey it will bring you to where you stopped. Be aware, though, that any answers entered into a page will not be saved until you have clicked the "Next page" button.

13.
Question: I can’t get the survey to move ahead after the question about faculty salaries. What am I doing wrong?
Answer: Make sure that only numeric values go into those boxes for salary numbers. It won’t move forward if there are commas or letters in those boxes (Ex: “150,000” or “N/A” or “$80K”)

Question: I think I selected the wrong program type(s). How can I fix this?
Answer: Go to the bottom of the survey page, right side, and click on the “Table of Contents” button. Go to the very first section listed, which is “Prelicensure Program Survey: Administration & Staffing”. Keep clicking the “Previous Page” button at the bottom left side of the survey page until you get to the section that asks you to select “Program Types”. Select the programs that you do have (they will be highlighted in navy blue) and unselect any programs that you do not have that you may have inadvertently selected. Continue the survey from there.

15.
Question: If a student completes the program (1 semester behind), it counts as on time completion?
Answer: Students who graduated within the program year in which they were expected to graduate, even if delayed by a semester or a quarter or more, are considered on time.
Examples for August 1, 2022 - July 31, 2023 school year:

  • On-time completion: Student was expected to graduate in December 2022 (fall quarter), but instead graduated in March 2023 (spring quarter).
  • Late Completion: Student was expected to graduate within the program year, for example March 2023 (spring quarter) but instead graduated in the second summer session (September 2023)

Question: Can I get link to a recording of the webinar?

Question: We have two directors, but one manages our BSN program (prelicensure) and our RN-to-BSN program, while the other manages the MSN and doctoral programs (postlicensure). Where do we enter the information for the first director?
Answer: Please put the director who manages BSN and RN-to-BSN in the prelicensure program survey, and the director who manages the MSN and doctoral programs in the postlicensure program survey, and then give us a note in the survey process questionnaire, Question 11, “Please provide any additional feedback about the survey here.”

18.
Question: We had a student come to the first day of nursing classes and then change majors. It doesn’t show on her transcript because it was before the last day to withdraw and add classes. Should I count that as attrition from the nursing program or not?
Answer: This would count as an admission, enrollment, and withdrawal.

19.
Question: We use the term "assistant director" for our pre-licensure program, but we have a "post-licensure" RN to BSN "program coordinator" -- should we count this as an "assistant director" for the post-licensure program?
Answer: Yes

20.
Question: Do you have to complete the survey in one sitting, or you can save the info and go back to it on another day prior to submitting?
Answer: Yes, you should be able to close out of the survey and come back and pick up where you left off. The survey interface will warn you that you should click the “next page” button to be certain your data is saved.

21.
Question: When we click on the unique survey link, can we download the survey to print it out to give sections to others to complete?
Answer: You can’t print out sections of the interactive online Qualtrics survey prior to completing it, but you should be able to download sections of the PDF version and share them for others to use to gather data for the survey. You can find the PDF version at: https://rn.ca.gov/schoolsurvey. You can also assign other team members to fill out parts of the online Qualtrics survey, but be certain to coordinate so that team members do not work on the survey at the same time.
